Conference behaviour and etiquette you need to know

Depending on the conference you are attending, you are required to behave correctly so that you would not cause disturbance to others. Aside from that, inappropriate acts are always reprimanded, which means that you will be asked to leave the premises immediately. 

To avoid this from happening, you should know the various conference behaviour and etiquette you need to follow. Below is a list to guide you thoroughly:

  1. Always bring the documents needed for the conference

Wherever you go, you should always bring the important documents in case one of the event admins would ask for them. This usually happens when they need to confirm your identity or the kind of pass you purchased beforehand. 

  1. Keep conversations at a minimal volume

At the conference, you need to realize that you are not the only person present. As such, keeping your conversations in hushed tones is appreciated since you are not disturbing anyone near you. Aside from that, you might be having a sensitive topic that can offend anyone that can hear it.

  1. Always be on time

Conferences always have a designated start time since there is a program to follow. As such, you need to arrive at least 30 minutes before so that you have ample time to complete registration and tour the entire establishment.

Additionally, conferences often have plenary sessions that have specific time frames. With this said, you always need to be there early or on time to avoid disturbing the speaker and other attendees.

  1. Avoid using your phone

In conferences, plenary sessions are usually conducted by a speaker who will talk about a relevant topic. While this is ongoing, refrain from using your mobile devices because this is disrespectful to the speaker and other attendees.

Although, some speakers permit the audience to use their phones to record the whole talk. Either way, it is best to ask if you can use your phone first to see if they are fine with the idea.

  1. Make connections with other attendees

People who attend conferences aim to get something insightful from the speakers, and at the same time, make connections with important people. As such, you can do so by properly introducing yourself and the profession you have. On top of that, make sure to give your calling card so that they can keep in touch with you when needed.

  1. Sit appropriately

Sitting appropriately during a conference is one way to show interest and respect to the speaker. So, you should avoid slouching or occupying two seats at once since this behaviour can disturb other people. Aside from that, sitting correctly will benefit your posture and prevent any backache later on

  1. Take notes during a plenary session

Conferences give you the opportunity to learn from different people. Moreover, you can take notes of the important points of every speaker in each session. This, in turn, will help you share the ideas you learned with your colleagues or people who are interested in the topic.

  1. Speak your mind out

In every session of the conference, speakers encourage the audience to speak up their minds by voicing out their opinions and questions. This will create an engaging discussion that can be insightful for everyone present at the event.

Moreover, speakers appreciate it when there are people who ask questions because it shows that you listened. So, whenever you can, participate by asking.

  1. Be respectful to other people’s opinions

Everyone is entitled to their opinions, which gives you no right to mock them or enforce your beliefs. If you happen to disagree with what they are saying, you can simply ask them why and observe the answers you will receive.

Consequently, you are allowing yourself to learn more about their opinions, which in turn will broaden your perspective. At the same time, you can also share your insights to give them other ideas as well.

  1. Avoid drinking or eating during a session

Plenary sessions are learning opportunities and are not sources of entertainment. Having this said, you should avoid drinking or eating during these times because it is disrespectful to the speaker.

Besides that, the meal or drink you are having might have a pungent smell that is not appreciated by others. Although this may be true, you are only allowed to have water to keep yourself hydrated.

  1. Never interrupt someone from speaking

It is rude to interrupt someone when they are speaking. Instead of interrupting, you should let them finish first before you say your reply. Always remember that there is always a time for you to share. On top of that, you should give the spotlight to others when it is on them instead of hogging it for yourself.

  1. Clean up your mess

Conferences expect everyone to clean up after themselves. This means that you are required to throw away all of your trash and dirt into the correct waste bin. Likewise, you are helping the admins and events personnel since they have a few things to clean up towards the end of the program. 

  1. Avoid using profanity when speaking

When you are at a conference, keep in mind that you need to act professionally with whoever you interact with. As such, avoid using profanity as much as possible since there are people sensitive to this kind of behaviour. When you use profanity, you can offend someone, which can lead to an unpleasant misunderstanding and discomfort.

  1. Actively listen to the speaker

Speakers of plenary sessions work hard to make their time with their audience interesting. In line with this, the least you can do is to listen to what they are talking about. This means that they will see that there are people who are interested in the topic at hand. On top of that, it also shows appreciation for their efforts in terms of preparation and presence.

  1. Follow the dress code

Conferences have different rules, which means that a dress code can be or not be imposed on the attendees. In case there is a dress code, it is best to follow it because there could be a chance when the event personnel will not let you enter the premises.

As such, this means that all your preparations and money will be in vain. On the other hand, if you do not know the dress code, your best option is to wear something that falls under smart casual.

  1. Be genuinely interested

Whoever you talk to, whether it may be another attendee or the speaker, remember to show genuine interest in whatever they are talking about. This is their way of expressing their thoughts and feelings about the subject, so you should be an active listener.

You can do this by nodding your head, forming questions and being curious about the topic, especially when you are not familiar with it.

Practising the right etiquette is a good way to respect every person’s boundaries and spaces. Likewise, not all people think the same and some are more sensitive than others. That is why etiquettes are created to avoid offending people.

  • Promotes consideration – Etiquette keeps you socially aware, which promotes consideration of others. The rule of thumb of etiquette is assessing other people’s boundaries so that you are not offending them in any way.
  • Promotes respect – Respect is important in every aspect of life and learning the right etiquette reinforces this idea in your minds.
  • Recognizing boundaries – People have different kinds of boundaries, and it is important to respect them at all times.
  • Helps you get along with others – Etiquette promotes you to be more sociable. As such, you can make meaningful connections at any event you attend!
  • Learning different cultures – Every country has different sets of cultures, which can be odd to some. Fortunately, etiquette helps you understand the discrepancies, and this, in turn, widens your perspective.
